This Privacy Policy explains how Tops and Trends, Inc. (“Tops and Trends,” “we,” “us”) collects, uses and shares information when you visit topsandtrends.com, use our website chat, fill out one of our forms, claim a coupon, call or text us, or visit one of our shops: Kernersville, NC; Raleigh, NC; Fletcher, NC.
Where we do business
Tops and Trends, Inc. is a North Carolina business. Our shops are in Kernersville, Raleigh and Fletcher, North Carolina, and our work is done at those shops. Our website is meant for people who can visit our North Carolina shops. We do not aim our advertising at, or offer our services in, other states.
Information you give us
When you fill out a form on our website (our contact / quote form, the chat’s “We’ll reach out to you” and “Ask our team” forms, or a dealership account form), chat with us, call, text or email us, we collect what you give us. That can include your name, phone number, email address, your vehicle (year, make, model and trim), which shop is best for you, what you need, photos you upload, and your messages.
Website chat. The questions you type into our chat and the chat’s answers are saved, so our team can see what you asked and help you. Please don’t type payment card numbers, Social Security numbers or other sensitive information into the chat or our forms.
Coupons. When you claim a coupon, a coupon code is saved on our website together with your random visitor code (not your name or phone number), and shown on our Contact Us page. If you include the code in your request or give it to us when you book, we connect it to your job to honor it. Limit one per customer (phone number).
Job applications are handled by BambooHR, and dealership and staff accounts by our own apps; those forms show their own notices.
Information collected automatically
Our own website tools (not an outside company) record how our website is used: the pages you view and for how long, how far you scroll, how you got to our site (for example, “Google search”, the website that sent you, or the name of an ad campaign), the link or button you clicked to reach a page, which visit this is on your device and the date of your first visit, whether you are on the site right now (and which page you are on, so a member of our team can offer to help in the chat), your device type (phone, tablet or computer), your device’s language and whether you translated the page, how long a page took to load, and whether a page was not found. This includes which links and buttons you click on our pages. We also record what you search for with the search box at the top of our website, when someone taps our phone number, clicks the same spot over and over or clicks a picture that doesn’t open, and how people use our pop-ups (such as the coupon pop-up: whether they saw it, closed it or clicked it). On our contact forms we record when someone starts or sends the form, which buttons and choices they tap, which boxes they filled in and how long it took (not what they typed), and, when they send it, the name they entered.
To tell visits apart, our tools store a random visitor code in your browser and record a partial IP address (the last part is removed, for example 98.24.117.x, or only the first part of a newer IPv6 address), which shows roughly what network a visit came from. We do not keep your full IP address; it is only used briefly, in scrambled form, to block spam, and is normally deleted within a day.
Heat maps. On computers we count where on each page people click and move the mouse, and on phones which part of a page is on screen. These counts are anonymous: they are added up per page and are not linked to you.
You can turn this off — see Your privacy choices below.
Outside companies on our website
Some features of our website are provided by other companies, which may set their own cookies or collect information about your visit (such as your IP address and the pages you view) under their own privacy policies:
- Google (Google tag / Google Analytics, Google Fonts, reCAPTCHA spam protection, Google Maps links) — their privacy policy
- HubSpot (website visit tracking and forms) — their privacy policy
- Trustindex (the Google reviews shown on our site) — their privacy policy
- Lovable (our quote form, FAQ and staff app) — their privacy policy
- BambooHR (job applications) — their privacy policy
- jsDelivr (delivers some of our website’s code files) — their privacy policy
Links to other websites (maps, review sites, manufacturers, social media) are covered by those websites’ own policies.
How we use information
- To answer your questions (sometimes a member of our team joins the website chat to answer you personally) and respond to your requests for quotes, repairs, installations and appointments.
- To call, text or email you about your request, quote, appointment, product, repair or installation.
- To honor coupons and keep records of our work and your purchases.
- To understand how our website is used and improve it (for example, fixing pages that are slow, broken or confusing).
- To let our team know when a visitor may need help — for example, when you type a message in our chat, a click on our contact form, or several minutes on our Contact Us page — so we can follow up if you gave us your contact details. These alerts include the pages viewed and the chat, and may be emailed to our staff.
- To notice when several people from the same business network (such as a car dealership) look at our dealer pages, so our team can reach out to that business.
- To prevent spam, fraud and misuse of our website.
- To follow the law and protect our rights, customers and staff.
Phone calls and text messages
When you give us your phone number in one of our forms and agree (by checking the box in our chat forms, or by giving us your number in our contact form and asking us to get back to you), you agree that a Tops and Trends team member may call or text you at that number about your request, quote, appointment, product, repair or installation. Agreeing is not a condition of buying anything from us. Message frequency varies. Message and data rates may apply. Reply STOP to any text to stop texts, or HELP for help. You can also tell us on a call, by email or through our contact form that you no longer want calls or texts, and we will honor it within 10 business days. We do not sell or share your phone number or text-message consent with anyone for their marketing.
How we share information
We do not sell your personal information for money. We share it only:
- with companies that help us run our business and website (such as website hosting, email, our quote-form app, our customer-contact tools and the outside companies listed above), who may use it only to provide their services;
- with the manufacturer or dealership when you ask us to handle warranty or dealership work;
- when required by law, or to protect our rights, customers, staff or the public; and
- as part of a sale or transfer of our business.
How long we keep information
Our website tools keep detailed visit, chat and website-search records for 1 year, then delete them. What we keep after that are summaries, such as monthly visit totals and the most-asked chat questions and searches, with phone numbers, email addresses, names, VINs and street addresses taken out where our tools can detect them. Requests sent through the chat’s own forms have the name, phone number, email address, visitor code and partial IP address removed after 1 year; the vehicle, shop, pages viewed and request (with those details taken out) are kept for our records. Copies of requests that were emailed to our team or saved in our quote-form app, customer records and invoices are kept as long as needed for our business, warranty and legal records, or until you ask us to delete them where the law allows.
Your privacy choices
- Our privacy notice: the first time you visit, a short notice at the bottom of the page explains that we use analytics (our own and a few outside tools). It slides away after a few seconds, when you press “Got it” or with ✕, and leaves a small “Privacy” tab you can tap to see it again. Closing it does not change anything; to turn analytics off, use the choice below.
- Turn off analytics: use the switch below to turn off our website tracking on your device (you can turn it back on the same way). We also turn it off automatically if your browser sends a Global Privacy Control or “Do Not Track” signal. When it is off, our tools stop recording your visits, clicks and page history, and we ask HubSpot and Google not to track your visit (those companies control their own tools). Messages you send in our chat (and the name, vehicle, rating or feedback you give it) and searches you type in the search box at the top of our website are still saved, because you are sending them to us.
- Stop calls and texts: reply STOP, tell us on a call, or contact us.
- See, correct or delete your information: contact us. We will verify the request and respond within 45 days, except for records we must keep by law (for example, invoices).
- Browser settings: you can clear or block cookies and site data in your browser. The chat still works, but it won’t remember your conversation or vehicle.
If you live in a state whose privacy law applies to us, you may have additional rights. Contact us and we will help, and we will not treat you differently for using them.
Children
Our website is not meant for children under 13, and we do not knowingly collect information from children under 13. If you believe a child gave us information, contact us and we will delete it.
Security
We use reasonable safeguards to protect information, such as encrypted connections (https) and limiting who on our team can see it. No website or internet transmission is completely secure. If a security breach affects your personal information, we will notify you as required by North Carolina law.
Changes to this policy
We may update this policy. The “Last updated” date at the top shows when it last changed.
